Theatre Tokens Privacy

The Theatre Tokens scheme is administered by Society of London Theatre a company registered in England and Wales (company number: 527227) whose registered office is at 32 Rose Street, London, WC2E 9ET ("SOLT").

This Privacy Policy sets out the basis on which any personal data we collect from you or that you provide to us will be processed by us. Please read the following Privacy Policy to understand how we use and protect the information that you provide to us.

SOLT respects your privacy and is committed to protecting your personal data. It is important that you read this Privacy Policy together with any other privacy notice or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This Privacy Policy supplements the other notices and is not intended to override them.

2.   Data that we collect about you   

2.1 We may collect, use, store and transfer different kinds of personal data about you which we have explained using the following categories:

  • Identity Data includes first name, last name, job title.
  • Contact Data includes home address, company address, telephone and fax numbers, email address, billing contact details and billing address.
  • Transaction Data includes details about payments to and from you and other details of services you have purchased from us.
  • Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website
  • Profile Data includes your username and password, your interests, preferences, feedback and survey responses.
  • Usage Data includes information about how you use our website and services.
  • Marketing and Communications Data includes your preferences in receiving marketing from us and our third parties and your communication preferences.

2.2 We may receive information that you submit to any third party website that you access from a link contained in this website. Both SOLT and the owner or operator of that third party website will be the data controller in respect of any such information and you should check the privacy policy of that website to find out how they will use your data. We will only use that information in accordance with this Privacy Policy.

2.3 Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you with services). In this case, we may have to cancel a service you have with us but we will notify you if this is the case at the time.

2.4 We may collect information about your computer and your visits to our website and this may include your IP address, geographical location, browser type, length of visit and number of page views. We may use this information for a number of purposes such as optimising the use of the Site or for security purposes. In particular, we may use an analytics service provider for website traffic analysis and reporting and to track information such as which browser, screen resolution and IP address you are using to access our website, in addition to tracking your movements around our website. Individual users will not be identifiable from this information.

Generally we collect your information when you decide to interact with us.  We use different methods to collect data from and about you including through:

    • Any venue which participates in the Theatre Tokens scheme;

4.    Use of Your Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Where we need to perform the contract we are about to enter into or have entered into with you.
  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
  • Where we need to comply with a legal or regulatory obligation.

Where you have specifically consented to our use of the personal data, for example to sending direct marketing communications to you via email.  You have the right to withdraw your consent to marketing at any time by contacting us. If you've opted-in to our emails you could receive up to one What's On email per day and one Token Talk enewsletter a month. You can update your preferences at any time, including reducing the frequency of emails.

10.    Data security

10.1 We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality. However, you acknowledge that data transmission over the internet is inherently insecure and that we cannot guarantee the security of data sent over the internet

10.2 We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

11.    Storing your data

11.1 We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

11.2 To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

11.3 Your information will only be held for a reasonable period or as long as the law requires or permits.

12.    Third party processors

12.1 The information that you provide to us will be collected and processed on our behalf by IBM Corporation (Watson Campaign Automation). For the avoidance of doubt, we may also have access to this information.

12.2 We may also share your information with service providers who work on behalf of SOLT for the performance of any contract we enter into with them or you, for example payment processing, printers and mailing houses, marketing agencies, database services, website hosting or email delivery service.

13.   International Data Transfers

13.1 Your personal data may be transferred, processed and/or stored by us or our processors outside the European Economic Area (specifically the USA). By submitting your personal data, you agree to such transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy.

13.2 Some countries outside the EEA do not have laws that protect your privacy rights as extensively as those in the UK.  However, if we do transfer your personal data out of the EEA, we put in place appropriate safeguards to ensure that your personal data is properly protected and processed in accordance with this Privacy Policy.  These safeguards include imposing contract obligations of adequacy or requiring the recipient to subscribe to or be certified with an “international framework” of protection.

14.   Your Rights

  • Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.
  • Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.
  • Request restriction of processing of your personal data. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format.   • Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.

14.2 You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

14.3 We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

14.4 We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

SOLT/UK Theatre Privacy Policy for Kids and Young People

We are the Society of London Theatre and we want you let you know how we use information about you when you sign up to receive one of our newsletters on our website.

Why do we collect information about you in the first place?

We keep information about you so that we can:

  • let you have the newsletter you signed up for
  • make our website and the things we offer better
  • keep in touch with you, for example, to ask you if you want to carry on receiving our newsletter.
